Rules on the Handling of Personal Information

Definition of Personal Information

Ittoku Co., Ltd. understands personal information to mean information about a living individual as provided for in the Act on the Protection of Personal Information (name, date of birth, and other information by which a specific individual can be identified), as well as email addresses, user IDs, passwords, credit card information and other information used in connection with a specific individual, and attribute information about an individual such as hobbies, family composition and age that is combined with personal information.

Cookies and IP Address Information

We do not consider cookies and IP address information to be personal information, because such information alone cannot identify a specific individual. However, where such information is used together with personal information, we regard such information as personal information as well. On the media operated by Ittoku Co., Ltd., where cookies or IP address information are used, we will disclose the purpose and method of such use, even if a specific individual cannot be identified. Cookie information may also be refused through your browser settings. If refusing cookies makes a service unavailable, we will make that fact public as well.

Specification of the Purpose of Use of Personal Information

In handling personal information, Ittoku Co., Ltd. specifies the purpose of its use as far as possible.

Restrictions on the Use of Personal Information

Ittoku Co., Ltd. does not handle personal information beyond the scope necessary to achieve the purpose of use without obtaining the prior consent of the individual concerned. Even where personal information has been acquired through a merger or for any other reason, we do not handle it beyond the scope of the purpose of use before the succession without obtaining the prior consent of the individual concerned. However, this does not apply in the following cases.

Where it is based on laws and regulations
Where it is necessary for the protection of the life, body or property of a person and it is difficult to obtain the consent of the individual concerned
Where it is especially necessary for improving public health or promoting the sound growth of children and it is difficult to obtain the consent of the individual concerned
Where it is necessary to cooperate with a national government organ, a local government, or a party entrusted by either of them in performing affairs prescribed by laws and regulations, and obtaining the consent of the individual concerned is likely to impede the performance of those affairs

Proper Acquisition of Personal Information

Ittoku Co., Ltd. acquires personal information properly and does not acquire it by deception or other wrongful means. We also take care not to collect information about an individual from a child under 15 years of age without the consent of a person with parental authority.

Notification of the Purpose of Use upon Acquisition of Personal Information

When acquiring personal information, Ittoku Co., Ltd. publicly announces the purpose of its use in advance. However, this does not apply in the following cases.

Where notifying the individual concerned of the purpose of use, or publicly announcing it, is likely to harm the life, body, property or other rights and interests of the individual concerned or a third party
Where notifying the individual concerned of the purpose of use, or publicly announcing it, is likely to harm the rights or legitimate interests of Ittoku Co., Ltd.
Where it is necessary to cooperate with a national government organ or a local government in performing affairs prescribed by laws and regulations, and notifying the individual concerned of the purpose of use, or publicly announcing it, is likely to impede the performance of those affairs
Where the purpose of use is found to be clear in light of the circumstances of acquisition

Change of the Purpose of Use of Personal Information

Where Ittoku Co., Ltd. changes the purpose of use of personal information, we do not make the change beyond the scope that is reasonably considered to have a substantial relevance to the purpose of use before the change, and we notify the individual concerned of the changed purpose of use or publicly announce it.

Security Control of Personal Information and Supervision of Employees

Ittoku Co., Ltd. establishes personal information protection rules and exercises necessary and appropriate supervision over its employees so as to prevent the leakage, loss or damage of personal information and otherwise ensure the security control of personal information.

Supervision of Contractors

Where Ittoku Co., Ltd. entrusts all or part of the handling of personal information to a contractor, we conclude a contract including confidentiality obligations with the contractor, or request the contractor to agree to the terms established by Ittoku Co., Ltd., and exercise necessary and appropriate supervision over the contractor so that the security control of personal information is ensured at the contractor.

Restrictions on Provision to Third Parties

Except in the cases listed below, Ittoku Co., Ltd. does not provide personal information to third parties without obtaining the prior consent of the individual concerned.

Where it is based on laws and regulations
Where it is necessary for the protection of the life, body or property of a person and it is difficult to obtain the consent of the individual concerned
Where it is especially necessary for improving public health or promoting the sound growth of children and it is difficult to obtain the consent of the individual concerned
Where it is necessary to cooperate with a national government organ, a local government, or a party entrusted by either of them in performing affairs prescribed by laws and regulations, and obtaining the consent of the individual concerned is likely to impede the performance of those affairs
Where the following matters have been notified or publicly announced in advance
1. That the purpose of use includes provision to third parties
2. The items of data to be provided to third parties
3. The means or method of provision to third parties
4. That the provision of personal information to third parties will be stopped at the request of the individual concerned

Publication of Matters Concerning Personal Information

Ittoku Co., Ltd. keeps the following matters concerning personal information in a state in which the individual concerned can know them, and responds without delay at the request of the individual concerned.

The purpose of use of personal information (excluding matters for which the Act on the Protection of Personal Information provides that there is no such obligation. If we decide not to respond, we will notify the individual concerned to that effect without delay.)
The contact point for inquiries concerning personal information

Disclosure of Personal Information

When requested by the individual concerned to disclose personal information, Ittoku Co., Ltd. discloses it to the individual concerned without delay. However, where disclosure would fall under any of the following, we may not disclose all or part of it, and if we decide not to disclose it, we will give notice to that effect without delay.

Where there is a risk of harming the life, body, property or other rights and interests of the individual concerned or a third party
Where there is a risk of seriously impeding the proper execution of the business of Ittoku Co., Ltd.
Where it would violate other laws and regulations

Please note that information other than personal information, such as access logs, is not disclosed in principle.

Correction, etc. of Personal Information

Where the individual concerned requests the correction, addition or deletion of the content (hereinafter “correction, etc.”) on the grounds that the personal information is not true, Ittoku Co., Ltd. — except where special procedures are prescribed by other laws and regulations — conducts the necessary investigation without delay within the scope necessary to achieve the purpose of use, carries out the correction, etc. of the content of the personal information based on the results, and notifies the individual concerned to that effect.

Suspension of Use, etc. of Personal Information

Where the individual concerned requests the suspension of use or the erasure (hereinafter “suspension of use, etc.”) of their personal information on the grounds that it is being handled beyond the scope of the purpose of use announced in advance, or that it was acquired by deception or other wrongful means, Ittoku Co., Ltd. conducts the necessary investigation without delay, carries out the suspension of use, etc. of the personal information based on the results, and notifies the individual concerned to that effect. However, where the suspension of use, etc. of personal information requires a large expense or is otherwise difficult to carry out, and alternative measures necessary to protect the rights and interests of the individual concerned can be taken, we take such alternative measures.

Explanation of Reasons

Where Ittoku Co., Ltd. decides on any of the following despite a request from the individual concerned, we endeavor to explain the reasons when notifying the individual concerned to that effect.

Not to notify the purpose of use
Not to disclose all or part of the personal information
Not to carry out the suspension of use, etc. of personal information
Not to stop the provision of personal information to third parties
